Workspaces

A workspace is the home for a set of projects, people, and reusable assets. Check the workspace selector before creating a project, inviting people, or changing shared settings.

Personal or team workspace?

Workspace Use it for What to expect
Personal Your own schedule review and planning Personal account capabilities apply; paid access is required for schedule creation and editing
Team Projects managed with an organization or project team Workspace membership, project roles, member licenses, and Premium project allocation apply

Team progress collection and team comments belong to team workspaces. Paying for personal editing does not make a personal workspace a Premium team project.

Switch workspaces

Open the workspace selector in the top bar and choose the intended workspace. Then use Projects to see that workspace’s project list. Home and Library can help you find work across the places you can access.

If a workspace is missing, confirm that you are signed in with the invited account and have accepted the invitation. Being given a single schedule does not necessarily make you a full workspace member.

Workspace roles

Role General responsibility
Owner Workspace administration and ownership, including billing
Admin Manage workspace settings, projects, people, and allocations within the available plan
Member Work in the workspace with the project access assigned to them
Guest Collaborate through granted project or schedule access with limited workspace capabilities

A workspace role and a project role answer different questions. Someone can be a workspace Member and an Editor on one project, but a Viewer on another. See Roles and access before choosing access for a collaborator.

Manage members

Use the workspace’s Members controls where available. Owners and Admins manage workspace membership; invite controls are available according to your permissions.

Check the email address, workspace role, and any project access before sending an invitation. For a subcontractor who needs one project, project-level access is often easier to understand than broad workspace administration. For a reviewer who only needs one file, use schedule sharing.

Removing one form of access may not remove another. Review project membership and direct schedule access when someone no longer needs the work.

Workspace settings and project organization

Open Workspace settings from the workspace’s Projects page when you have administrative access. Use consistent project names, IDs, and attributes so the project’s filters remain useful.

Use Add Program to organize related projects. Programs help with portfolio organization; each project still has its own schedules and team. Use project location data if you want the map view to be useful.

Workspace-level assets let a team reuse approved calendars, column definitions, views, and reporting layouts. Before editing a shared asset, consider whether everyone using it should receive that change. Assets explains how to duplicate or copy a setup for a narrower use.

Licenses and Premium projects

Member licenses are assigned to people. Premium slots are allocated to projects. They solve different access needs and should not be treated as interchangeable.

A Workspace Owner can review billing and available capacity. Owners and Admins can allocate available Premium project slots. For role requirements and the effect on contributors, see Premium projects and licenses.
